HR & Office Manager

Location: Notting Hill

Summary of Position:

The HR & Office Manager’s role is to organise and supervise all of the administrative activities that facilitate the smooth running of the office and HR department. They have the responsibility for ensuring that their office runs efficiently. The HR & Office Manager will carry out a range of Administrative, HR, Finance and IT-related tasks. The role requires to support and work closely with the Directors on Finance and HR areas of the business.

Duties and Responsibilities:

  • Using a range of office software, including email, spreadsheets and databases
  • Managing filing and administrative systems
  • Managing various Front of House duties
  • General administrative support to team
  • Maintaining the condition of the office and arranging for necessary repairs
  • Liaise with IT Contractors to ensure that Office IT enquiries are addressed
  • Placing orders for IT equipment for the office and updating the IT budget accordingly
  • Managing Software Accounts for the business- E.g. Adobe licences
  • Maximise and maintain office efficiency by planning and implementing office systems; responsible for ensuring systems operate cohesively
  • Providing support in Human Resources and Finance Administration
  • Manage relationships with the building landlord, Management Company and Service Providers
  • Manage accounts for utilities; internet, waste collection etc for the NY office
  • Planning and organisation of Team events

HR Areas would cover:

Responsibility for the HR processes of the company such as:

  • Manage the Induction process for each new starter and manage Employee Leaver Process for London and New York offices
  • Prepare employment contracts for London and New York offices
  • Provide training, manage Time Management software day to day and produce HR Reporting
  • Manage Office Desk Booking software
  • Maintain and update the Staff Handbook, ensuring that procedures are clearly understood and followed by all staff
  • Ensure that Health and Safety procedures compliant with legal requirements and internal protocols
  • Ensure the Office is compliant with ISO: 9001 Certification
  • Support the administration of Employee Training & Professional Development
  • Deal with any ad hoc HR requests from Managing Director or team members
  • Liaise with payroll each month to ensure any salary, pension, holiday, sickness, paternity, maternity etc. changes are captured each month
  • Review Payroll Reports and sign off payroll each month and liaise with Commercial Director to ensure wages funds are transferred to Payroll in a timely manner
  • Ensure the company HR policies are up to date and in line with current legislation
  • Liaise with external HR consultant where necessary to gain guidance on HR related items

Finance Areas would cover:

  • Support all Invoicing procedures
  • Support Book Keeper with Invoicing requirements
  • Support Insurance renewals- public, employers and PI and Travel Insurance are renewed yearly and up-to-date
  • Ensure that appropriate service contracts are set up with external suppliers as required and that quality versus cost is upheld at all times
  • Regular review and negotiation with suppliers to achieve cost efficiency

Desired Skills and Expertise:

  • Excellent spoken and written English
  • Pleasant telephone manner
  • A good knowledge of Microsoft Office Packages
  • Proactive, “can-do” attitude
  • Excellent interpersonal and time management skills
  • It is essential that the successful candidate is well presented, articulate, and has strong communication skills
  • HR admin experience desirable
  • CIPD Level 3 and 5 qualifications or equivalent desirable
  • HR is a desired competency rather than a core competency; we will consider great Office Managers
  • Demonstrable numeracy proficiency
  • Experience processing and managing confidential data

Digital Content Creator

Location: Notting Hill
Job Type: Full-Time

OVERVIEW

We’re looking for an enthusiastic, proactive and well-organised Digital Content Creator and Social Media Manager to join our Marketing team. Reporting to the Head of Marketing and Creative Director, this person will be a “swiss army knife” of creativity; someone highly talented and multi-skilled who can create engaging digital content across multi-platforms to reflect our commercial plan & strategy.

Primarily you will manage, execute and deliver digital content. The ideal candidate will be able to juggle the creation of multi-channel campaigns to guarantee hero brand moments, whilst continuing to deliver ‘business as usual’ brand content in-line with LANSERRING’s discerning aesthetic and tone of voice.

This person will have a deep understanding of how people consume, share and engage with digital content and will utilise this knowledge to create & deliver compelling content whilst supplying insights to grow our digital community and reach company KPIs. As a newly defined role, there is huge scope to really “own” this area of the business. We’re looking for someone with the confidence to push the brand outside its comfort zone and the experience to propose and deliver fresh content to help LANSERRING stay ahead of the curve – both within the design community and more broadly within the realms of digital content creation. RESPONSIBILITIES

  • Build and maintain our digital community across key social media networks.
  • Work with the brand’s commercial & comms plan to drive awareness of hero brand moments, new product or concept launches and overall design communications.
  • Devise, create, produce, schedule and deliver content for all digital channels with compelling photography, videography and graphic design.
  • Be responsible for producing digital assets in-house or work in unison with our freelance photographers and videographers for larger scale concept launches.
  • Show a clear understanding of how to effectively communicate our core brand values and an ability to adapt your tone of voice to varying digital platforms.
  • Help develop & ensure an on-brand aesthetic, tone & quality of our digital content.
  • Be confident in writing copy to accompany imagery for social channels, ads, and the LANSERRING website if required.
  • Monitor mentions, comments, likes & messages on social media accounts – replying to queries promptly and politely, or passing them onto the sales team to handle directly.
  • Working in collaboration with our Head of Marketing and external digital agency to assess data across our social channels and deliver insights from a creative performance POV, to grow our digital community and create the most impactful content for each channel.
  • Write and present monthly reports on digital channel performance. You will also be required to assist with other areas of Marketing, including:
  • Managing the catalogue of all digital assets (primarily photography, video, and e-comm assets) to ensure content is available across the business to serve all channels.
  • Supporting the Head of Marketing with brand content from print to digital assets.
  • Assisting the external website management team with image resizing and web assets including video content for the LANSERRING and Interior-ID websites (both mobile and desktop formats).
  • Support the Head of Marketing with the building of fortnightly digital journal posts and supporting the CEO with brand update correspondence and seasonal newsletters.

EXPERIENCE & REQUIREMENTS

  • Proven experience within a media or digital / creative agency, or in-house brand creating narrative content.
  • Strong graphic design skills, with strong understanding of Adobe Photo Suite, InDesign, Premier Pro, Planoly, WordPress etc.
  • Copywriting skills with excellent attention to detail.
  • Experience in social media management including scheduling tools, insight and analysis tools.
  • Good written & verbal communication skills.
  • Adaptable, highly organised with impeccable attention to detail.
  • A passion for design, travel and creative living.
  • A team player with a positive outlook, a self-starter & ability to use initiative to solve problems.
  • Able to deal with changing deadlines and priorities in a fast-paced environment, whilst ensuring final assets are delivered on time.
  • Working knowledge of Mac computer systems and programs.
  • We are looking for someone who enjoys creative brainstorming, views the world through a creative lens and is extremely passionate about generating innovative digital content.
  • Research, archive and present imagery, music and video content as support material to projects.
